AANC Association Administrator Position
Job Title: Association Administrator
Reports To: Executive Director
Exemption Status: Non Exempt | Part Time
Hours: Monday – Friday | 20-25 hours per week
Job Overview
Coordinates administrative functions of the Apartment Association of North Carolina (AANC). First point of contact for members. Provides administrative support to Executive Director and staff as needed. This position requires flexibility to meet the scheduling demands of the Association and may require working mornings, evenings and/or weekends, which may or may not be away from the office.
Specific Responsibilities & Duties
- Perform general office clerical duties and errands.
- Mail retrieval, A/R sorting and coding of invoices.
- Provide services/information in response to member requests including monitoring the association’s general email account, assisting members with event registrations and checking the association’s voicemail regularly throughout the day.
- Maintain member database in Novi including reviewing and approving new member sign ups and updating member information, as needed.
- Update and correct member information including ongoing outreach to increase accuracy of ownership and property management data.
- Track and replace office supplies as necessary to avoid interruptions in standard office procedures.
- Ensure the maintenance of office equipment, as needed.
- Assist with the execution of AANC’s annual conference, events and education activities as needed.
- Support Engagement Manager as directed, including but not limited to pre-conference preparations, on-site setup for events, coordination with volunteers, communication with stakeholders.
- Support Executive Director as directed, including but not limited to securing locations/food for board meetings, tracking affiliate associations’ event calendars, coordinating Executive Director visits with affiliate associations, monitoring calendar for conflicts.
- Support other AANC staff as needed.

- Energetic, eager to work collaboratively, interest and ability to serve a highly diverse constituency and work in partnership with other nonprofits and the business community.
- Proficiency in Microsoft Office products, with online meeting platforms (Zoom, Teams, etc.), and with office equipment (printers, copiers, postage machine, etc.).
- May require occasional travel by car to association events, training or other business needs. Moderate to heavy lifting may be required from time to time, particularly in annual conference and event preparations. Access to a vehicle and a valid driver’s license are required, as well as flexibility to work some evening events.

Education/Certifications Required

High School Diploma required. Associate/Bachelor’s degree preferred.
